Gloucestershire Young Photographer of the Year Competition 2021

1. The Competition
1.1 The competition is known as “Gloucestershire Young Photographer of the Year Competition” (the Competition). The Competition is run by Cheltenham Camera Club (CCC).
1.2 The Competition is open to young photographers of school age, living or registered at a school, in Gloucestershire. There are two categories – Primary and Secondary.

2. Conditions of Entry
2.1   Pre-registration is required, by the School Representative (SR) by Mon 17th  May on https://cheltenhamcamerclub.uk/gyp/. Once acknowledgment has been received, the Competition is entered by completing the online entry form. A maximum of 1 image per pupil is permitted on any subject.
2.2   All images must be received by Friday 21st May.  Any images received thereafter will not be accepted into the competition.
2.3   No image is officially accepted into the competition until the SR receives an official confirmation email from CCC stating it has been accepted. So long as there are no issues with the entry, this confirmation email will be issued no later than 2 days from receipt of the entry. Should there be any issues the SR will be contacted by email, advising of any problems in the hope they can be resolved.

3. Image Specifications
3.1 Only digital images can be accepted into the Competition but the original image need not have been taken on a digital camera. High quality scans of ‘analogue’ images will also be accepted.
3.2 Images must be in JPEG format
3.3 Entrants should not amend the EXIF data embedded in any image.
3.4 Any image found to be corrupt will not be entered into the Competition. Under these circumstances the SR will be contacted via email requesting they re-submit. Re-submissions will be subject to the same deadline detailed in item 2.2.

4 Judging & Prizes
4.1 Once the Competition closes, all images will be judged by 3 experienced photographers
4.2 Prizes will be awarded to the 1st, 2nd & 3rd placed photographs in both the Primary and Secondary categories; other photographs may receive Highly Commended and Commended Certificates. Trophies will be awarded to the Primary and Secondary Schools with the best entries.
4.3 The SRs of the award winners will be notified early June with a Virtual Awards Show by Zoom will take place on Friday 18th June.
4.4 The judges’ decision is final.

5 Publicity
5.1 Each entrant (or their parent or guardian where appropriate) agrees that for the purposes of promoting The Club, the Competition or future competitions, CCC and the sponsor may:
i. use the entered images
ii. use the names of the entrants alongside their image in any of their publications, their website and/or in any promotional material

6 Intellectual Property Rights
6.1 All images submitted to The Competition must be the work of the entrant. It is the responsibility of each participant to ensure that each image they submit does not infringe the copyright of any third party or any laws. Entrants must warrant that each image they are submitting is their own work and that they own the copyright to it.

7 Liability
7.1 Proof of electronic submission is not proof of receipt by CCC. Refer to item 2.5.
7.2 CCC accepts no responsibility for images which have not been received due to any technical or other reason.
7.3 CCC regrets that they cannot accept liability for the misuse of images and/or failure of any third party to comply with the competition’s guidelines.

8 Data Protection
8.1 Cheltenham Camera club is responsible for protecting your privacy and fulfilling the role of data controller when you share personal data with us. Your personal data will be processed as required under data protection legislation. More information is provided in our privacy notice.
8.2 Registration details for teachers will be kept for no more than 3 years following their last interaction with the competition – i.e. submission of images, registering or re-registering with the competition.
8.3 Images and the names of authors will be kept for no more than 12 months following the end of the competition – i.e. the announcement of winners or the end of the exhibition.
