Cheltenham Camera Club is established with the objectives set out in its constitution and is a data controller within the UK.

The personal information referred to in this Policy may include name, contact details, membership records, records of entries to competitions and events, distinctions and qualifications, and other such information as may be necessary for the effective management of the legitimate interests of the Club.

Any person wishing to verify the information that the Club holds on them as an individual may apply to the Secretary.

The Club collects and holds personal data about:

  1. The Committee, other appointees, and its members
  2. Photographers as the creators of images used in the activities of the Club
  3. Other individuals as necessary for the conduct of the business of the Club

This information may be used in the publication of catalogues, results, awards, or other publicity related to the activities of the Club.

Personal data, including the names and distinctions held by photographers creating images for use in an external competition or event, may be shared with other organisations when an individual has chosen to participate in these activities.

The contact details for individual members and competition entrants will not be disclosed to external organisations without their explicit consent.

The Club may retain historical archives for example but not limited to, records of meetings, handbooks, catalogues, awards, competitions and other event results.

All personal data is stored securely. Access to this information is controlled and limited to a small number of individuals, nominated by the Committee, who have a legitimate reason for processing the data.
